Steps for Setting up the required permissions for Mailbox Export

Step1: Creating a shared folder for Accessing the PST File

Create a shared folder over the network where the exported mailbox data will be saved. Make sure that the created shared folder is not in C:\folder.

Now, grant full access permissions to the Exchange Trusted Subsystem (ETS) for the shared folder created. Provide full access in the Share and Security level to the ETS.

Step2: Set Import-Export Right to Mailbox

In this step we will export a mailbox named “sharedesk” to PST file. By default, no mailbox will have permissions to export or import it. Use Exchange Admin Center interface to assign the rights:

  • Open Exchange Admin Centre and from the left–side of the panel, click on “Permissions” tab.

  • Under admin roles section, click “Recipient Management”. At the upper section of screen, choose “Add” option.

  • In the next window screen named “Select a Role”, choose “Mailbox Import Export” option. After this selection, click on “Add ->” button and press OK.
  • Click on “+” button to add mailboxes for export process.

Steps to Export Exchange Server 2013 Mailbox to PST

  • Open Exchange Admin Center and click on “Mailboxes” tab. All the mailboxes with database will be listed here that can be exported to PST. Choose the mailbox that has to be exported to PST, right click on it and select option “Export to a PST file”.

  • In the next pop up screen, you can see the mailbox name that has to be exported to PST.

  • Specify the location where the exported PST file is to be saved from the mailbox. Use the syntax: \\server\folder\Export File.pst (UNC path).

  • Select the mailbox to which the notification about PST Export completion will be sent and click Finish.

Once the PST Export of the Exchange mailbox is completed. The PST can be imported into Exchange Server or opened in MS outlook.
